WASH DOC AUTO DETAILING & CERAMIC COATINGS
TERMS OF SERVICE & APPOINTMENT POLICIES
Please review the following Terms of Service before scheduling your appointment.
At Wash Doc Auto Detailing & Ceramic Coatings, we are committed to providing professional workmanship, exceptional vehicle care, and a positive customer experience. The following policies help us maintain an organized schedule, protect our customers and their vehicles, and establish clear expectations for every appointment.
By booking an appointment and accepting these Terms of Service, you acknowledge that you have read and agree to the policies outlined below.
1. BOOKING FEES, CANCELLATIONS & RESCHEDULING
A booking fee equal to 20% of the scheduled service total is required for all appointments. This fee reserves your appointment and is credited toward your final service balance.
Cancellations With at Least 48 Hours’ Notice
Customers who cancel their appointment at least 48 hours before the scheduled start time will receive a full refund of their booking fee, without penalty.
Rescheduling With at Least 48 Hours’ Notice
Customers who request to reschedule at least 48 hours before their appointment will not lose their booking fee. The full amount will transfer to the rescheduled appointment and remain credited toward the final service total.
Cancellations or Rescheduling With Less Than 48 Hours’ Notice
Cancellations or rescheduling requests made with less than 48 hours’ notice will result in forfeiture of the booking fee unless an exception is approved by Wash Doc.
Weather-Related Rescheduling
If Wash Doc determines that weather conditions prevent safe or effective detailing, your appointment will be rescheduled without penalty. Your booking fee will transfer to the new appointment or be refunded if you choose not to reschedule.
All rescheduled appointments are subject to availability.
2. APPOINTMENT SCHEDULING & BUSINESS OPERATIONS
Wash Doc operates exclusively by appointment to ensure each vehicle receives the time and attention required for professional detailing.
We offer both mobile detailing services throughout the Dallas–Fort Worth area and in-shop detailing at our Haltom City, Texas location.
Mobile detailing appointments are available on Tuesdays and Fridays, subject to availability.
Certain services, including ceramic coating installations and Deep Clean Interior detailing, are exclusively performed at our shop.
During warmer months, appointments may begin as early as 6:00 AM to help minimize exposure to extreme temperatures and provide optimal working conditions.
Customers are encouraged to schedule appointments in advance, as availability may be limited.
3. IN-SHOP APPOINTMENTS & VEHICLE DROP-OFF
Our detailing studio is located at:
Wash Doc Auto Detailing & Ceramic Coatings
2312 Owens Street
Haltom City, TX 76117
Our studio operates by appointment only and does not offer a customer waiting area.
With prior approval, vehicles may be dropped off the evening before their scheduled appointment or approximately 15 minutes before the appointment start time.
Customers are responsible for arranging transportation to and from our location.
We ask that all customers coordinate their arrival and vehicle pickup times with Wash Doc to ensure a smooth appointment experience.
4. SERVICE PRICING, VEHICLE CONDITION & ADDITIONAL CHARGES
All advertised prices and initial quotes are estimates based on the requested service, vehicle size, overall condition, and location.
Final pricing may vary following an in-person vehicle inspection.
Additional labor or charges may be necessary for conditions including, but not limited to:
Excessive pet hair or embedded animal fur
Heavy sand, mud, dirt, or accumulated debris
Excessive staining or interior contamination
Heavy road grime, tar, or bonded exterior contamination
Neglected or unusually dirty vehicle interiors
Vehicle conditions requiring additional cleaning time
Mobile appointments involving extended travel distances
Any additional services or charges will be discussed with the customer for approval before the additional work is performed.
Biohazard Cleaning
For health and safety reasons, Wash Doc does not provide biohazard cleaning services involving blood, vomit, urine, feces, mold, or other hazardous biological contamination.
We reserve the right to decline or discontinue service when conditions present an unreasonable health or safety risk.
5. WEATHER CONDITIONS & APPOINTMENT INTERRUPTIONS
Weather conditions can significantly affect the quality and safety of professional detailing services.
Appointments may need to be rescheduled due to rain, snow, high winds, freezing temperatures, extreme heat, or other unfavorable environmental conditions.
If Wash Doc determines that weather conditions prevent us from safely or effectively performing the scheduled service, we will coordinate a new appointment date with the customer.
Customers will not be penalized for weather-related rescheduling initiated by Wash Doc.
6. MOBILE DETAILING LOCATION REQUIREMENTS
To provide professional mobile detailing services, customers must ensure that an appropriate and accessible working area is available.
Adequate Working Space
There must be sufficient space to fully open vehicle doors, safely operate equipment, and work around the entire vehicle.
Our mobile detailing van must be able to park reasonably close to the vehicle being serviced.
Restricted Parking Locations
Mobile detailing at apartment complexes, hotels, hospitals, public parking lots, and other shared or restricted properties requires prior authorization from property management.
An approved workspace must also provide sufficient room to perform the service without interfering with surrounding vehicles or pedestrian traffic.
Shade & Environmental Conditions
A shaded work area is preferred whenever possible, especially during warmer months.
Customers are asked to avoid scheduling landscaping, lawn maintenance, construction, or other activities that may produce excessive dust or debris near the vehicle during their appointment.
Water & Electricity
Wash Doc provides its own filtered water and electrical power for standard mobile detailing appointments. Customers are not ordinarily required to provide utilities.
7. MOBILE EQUIPMENT NOISE
Professional mobile detailing involves equipment that may produce significant noise, including generators, pressure washers, vacuums, and polishing equipment.
Customers should consider nearby residences, businesses, and property noise restrictions when selecting an appointment location.
For early-morning appointments, access to customer-provided electrical power may be requested when practical to reduce generator noise.
8. PERSONAL BELONGINGS & VEHICLE PREPARATION
Customers are asked to remove personal belongings, valuables, and unnecessary items from their vehicles before their scheduled appointment.
This includes items stored in the passenger compartment, trunk, cargo areas, and other spaces requiring cleaning.
Removing personal belongings allows our technicians to access the areas included in the scheduled service and helps prevent accidental loss or damage.
Areas obstructed by personal belongings may not be fully serviced.
9. VEHICLE SEATS, CHILD SAFETY SEATS & SEAT BELTS
For safety and liability reasons, Wash Doc does not remove or reinstall vehicle seats or child safety seats.
Customers who wish to have accessible areas beneath removable seats cleaned must arrange for removal before their appointment and are responsible for proper reinstallation.
Seat Belt Cleaning
Seat belts will only be cleaned using methods considered appropriate for the material and its safety requirements.
Aggressive cleaning techniques will not be used where they could compromise the integrity of the restraint system.
Complete removal of seat belt stains or discoloration cannot be guaranteed.
10. VEHICLE INSPECTIONS & CONSULTATIONS
Wash Doc offers professional vehicle inspections and consultations to evaluate vehicle condition, recommend appropriate services, and provide accurate estimates.
Complimentary In-Shop Consultations
Customers may schedule a complimentary vehicle inspection at our Haltom City detailing studio.
These consultations allow us to examine the vehicle, discuss customer expectations, recommend services, and provide an estimate at no charge.
All in-shop consultations are by appointment only.
On-Site Mobile Consultations — $100
Customers who request that Wash Doc travel to their home, office, or another approved location for an in-person vehicle inspection will be charged a $100 mobile consultation fee.
This fee covers transportation, travel time, and the professional evaluation performed at the customer’s location.
Consultation Fee Credit
If the customer proceeds with booking the recommended service, the full $100 mobile consultation fee will be credited toward the final service total.
If the customer chooses not to proceed with booking the service, the consultation fee is retained as payment for the time and travel associated with the inspection.
Mobile consultations are subject to scheduling and service-area availability.
11. PAYMENT POLICY
Payment is due upon completion of the scheduled service unless alternative arrangements have been approved in advance.
For appointments where the customer will not be present at completion, payment arrangements must be established before work begins.
Accepted payment methods include:
Cash
Checks
Major credit and debit cards
Zelle
Venmo
Any required booking fee or previously paid consultation credit will be applied toward the final service balance.
12. VEHICLE CONDITION, SERVICE RESULTS & LIABILITY
Pre-Existing Vehicle Condition
Wash Doc Auto Detailing & Ceramic Coatings takes reasonable care when working on every vehicle. However, vehicles may have existing damage, deterioration, wear, or defects that are not immediately visible before detailing begins.
Examples include:
Loose, cracked, or deteriorating trim
Damaged paint or failing clear coat
Previously repaired or repainted surfaces
Worn or damaged upholstery
Deteriorating leather or vinyl
Weakening adhesives or loose interior materials
Cracked or brittle plastics
Damaged or improperly installed aftermarket accessories
Existing electrical or mechanical issues
Normal cleaning and detailing procedures may reveal pre-existing defects or cause already compromised materials to deteriorate further.
Wash Doc will exercise reasonable care and notify customers of significant concerns identified during the service whenever practical.
Paint Correction & Exterior Detailing Results
Paint correction is designed to safely remove or reduce surface imperfections such as swirl marks, light scratches, oxidation, water spots, and other correctable paint defects.
The degree of improvement depends on several factors, including paint condition, clear coat thickness, previous repairs, and the severity and depth of existing defects.
Complete defect removal or a flawless finish cannot be guaranteed.
Some imperfections may be too deep to remove safely without compromising the remaining clear coat.
Wash Doc prioritizes preserving the integrity of the vehicle’s finish rather than pursuing unnecessarily aggressive correction methods.
Interior Detailing, Stain Removal & Odor Treatment
Professional interior detailing can significantly improve the cleanliness and appearance of a vehicle. However, complete removal of all stains, odors, discoloration, or embedded contamination cannot be guaranteed.
Certain stains may be permanent, while some odors may return due to contamination beneath carpets, upholstery, padding, or other inaccessible areas.
Older or deteriorating materials may be particularly sensitive to cleaning procedures, including worn leather, weakened adhesives, damaged headliners, and deteriorating plastics.
Wash Doc will select cleaning methods based on the condition and limitations of the materials being serviced.
Ceramic Coating Expectations
Professional ceramic coatings are designed to enhance gloss, provide hydrophobic properties, improve resistance to certain environmental contaminants, and make routine maintenance easier.
Ceramic coatings do not make vehicles scratch-proof, chip-proof, or maintenance-free.
They do not prevent all water spotting, chemical damage, staining, or environmental deterioration.
Coating performance and longevity depend on proper preparation, application, environmental exposure, washing practices, and ongoing maintenance.
Customers are responsible for following the recommended maintenance procedures provided after installation.
Any applicable ceramic coating warranty is governed by the specific written warranty terms provided for that service.
Personal Belongings & Aftermarket Accessories
Customers are responsible for removing valuables, personal belongings, and unsecured items before their appointment.
Customers should disclose known issues involving aftermarket accessories, electrical components, damaged trim, loose parts, or other modifications that may affect the detailing process.
Wash Doc is not responsible for loss or damage unrelated to its work or caused solely by pre-existing defects, customer-supplied equipment, or circumstances outside its reasonable control.
This provision does not exclude responsibility for damage caused by Wash Doc’s negligence or misconduct.
Damage Reporting & Customer Communication
Customers are encouraged to inspect their vehicles upon completion of service and promptly notify Wash Doc of any concerns.
If a customer believes damage occurred during the detailing process, we request that the concern be reported as soon as reasonably possible so the circumstances can be reviewed and documented.
Wash Doc will investigate reported concerns and address responsibility for damage caused by its negligence or failure to exercise reasonable care.
Nothing in these Terms of Service is intended to exclude liability that cannot legally be excluded or to waive rights provided under applicable law.
Service Results Acknowledgment
By scheduling a service, customers acknowledge that detailing results depend on the vehicle’s existing condition and that not every defect, stain, odor, or cosmetic imperfection can be completely corrected.
Wash Doc remains committed to professional workmanship, reasonable care, transparent communication, and achieving the best practical results within the safe limitations of each vehicle.
13. MAINTENANCE DETAILING PROGRAM
Our Monthly Maintenance Detailing Program is available to customers whose vehicles have first received a qualifying Full Detail, Professional Paint Correction, or Ceramic Coating service from Wash Doc.
Maintenance appointments are intended to preserve the cleanliness, appearance, and protection established during the original service.
Monthly Scheduling
Customers enrolled in the program agree to maintain a consistent monthly detailing schedule.
Appointments may be rescheduled when necessary, subject to availability and the applicable cancellation and rescheduling policies.
Extended gaps in maintenance may require an additional detailing service or reassessment before the vehicle can continue at maintenance pricing.
Six-Month Full Detail Requirement
To remain eligible for the Monthly Maintenance Detailing Program, customers must schedule a Full Detail every six months.
The maintenance-program Full Detail is priced at $400 for qualifying vehicles, subject to additional charges for conditions requiring work beyond the normal service scope.
Ceramic Coating Warranty Maintenance
For ceramic-coated vehicles, eligibility for Wash Doc’s applicable ceramic coating warranty requires continued maintenance through Wash Doc, including monthly maintenance appointments and the required six-month Full Detail.
Additional warranty conditions, coverage limitations, and exclusions are governed by the written ceramic coating warranty provided at installation.
14. CUSTOMER ACKNOWLEDGMENT & AGREEMENT
By scheduling an appointment with Wash Doc Auto Detailing & Ceramic Coatings and accepting these Terms of Service, the customer acknowledges that:
They have reviewed and understand the booking fee, cancellation, and rescheduling policies.
They understand that advertised pricing may be adjusted based on vehicle condition and approved additional work.
They agree to provide a safe and accessible working environment for mobile detailing appointments.
They understand that detailing results vary based on vehicle condition and that complete correction or restoration cannot always be guaranteed.
They acknowledge the vehicle preparation, payment, and service policies outlined in this agreement.
They understand the additional scheduling and maintenance requirements associated with enrollment in the Monthly Maintenance Detailing Program, when applicable.
Wash Doc Auto Detailing & Ceramic Coatings appreciates your business and looks forward to providing professional vehicle care throughout Fort Worth and the Dallas–Fort Worth area.
